These surveys are being undertaken by Strategic Research & Insight, on behalf of Visit Wales. The data produced will enable you to assess your business' performance: are you over-performing, how do you compare with other similar type businesses and what are the occupancy trends in the industry?

Privacy Policy

Visit Wales, part of the Welsh Government, undertakes a regular survey of accommodation occupancy levels in Wales on a monthly basis and Strategic Research and Insight (SRI) will now be undertaking this survey for the Welsh Government. The aim of this data is to measure occupancy levels across a variety of accommodation categories to allow analysis of how the accommodation sector in Wales is currently performing to support strategic decisions within Welsh Government on how best to support the accommodation industry.

To facilitate this research, SRI will gather and store personal information relating to you and your business to facilitate continued data collection throughout the lifetime of your participation in the research, survey data will be collected through the RIBOS platform. SRI will also use data gathered by the previous supplier, The Research Solution, to facilitate the initial contact for the continuation of the Visit Wales Accommodation Occupancy Survey.

The Welsh Government is the data controller for the research. The Welsh Government receives anonymised analyses of the survey data throughout the life of the survey and a copy of the participant database from SRI at the end of the contract in July 2024.

PRIVACY NOTICE

What personal data do we hold and where do we get this information?

Personal data is defined under the UK General Data Protection Regulation (UK GDPR) as ‘any information relating to an identifiable person who can be directly or indirectly identified by reference to an identifier’.

As part of delivering the Wales Accommodation Occupancy Survey, the previous supplier developed a database of participating businesses that contains the following personal information:

  • Your name,
  • contact information (business name, address, telephone number and email),

This data was transferred to the Welsh Government on the 31st December 2021. These details will be passed to the new supplier, SRI, who will only use them for the purposes of contacting your business for participation in the Wales Accommodation Occupancy Survey.

If you have not previously participated SRI will have contacted you through publicly available contact data. At no point is your data bought or sold as part of this research.

Your inclusion on the database, either as a continuing participant or as a new participant is voluntary and if you do not wish your details to be kept on the database or be invited to take part in future surveys then you can ask to be removed. This can be done when you are contacted by SRI or you can contact Welsh Government at any point using the details at the end of this privacy notice. 

Data collected for the purpose of the survey will be anonymised and aggregated by region and sector for the purposes of publication. The only personal data collected during the course of the survey will be business name, name of business owner(s), address, and relevant contact details for the purposes of the survey. Personal data is only used to maintain the participant database and collecting the annual occupancy data.

Online completion of the 2022-23 Occupancy Survey form is via the RIBOS platform and will result in website usage information collected using cookies, RIBOS and SRI may use this information collected from the website to personalise your repeat visits to our website. What is the lawful basis for using your data?

The lawful basis for processing information in this data collection exercise is our public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government.

The database ensures effective implementation of the Wales Accommodation Occupancy Survey. Research studies such as this are important for the Welsh Government to collect information and actionable evidence about its ability to deliver government priorities. The information collected in this research, for example, might be used to:

  • To understand the current and future performance of the Accommodation Industry in Wales
  • To inform strategic decisions around funding and industry support
  • To inform policy development in the area of Tourism and Hospitality.

How secure is your personal data?

Personal information provided to SRI is always processed and stored on a secure server and the data can only be accessed by a limited number of researchers working on this project. SRI will only use this data for research purposes. SRI has Cyber Essentials certification.

Data collected through the RIBOS platform will utilise the proprietary survey hosting and data server systems of ReZolve I.T Ltd. ReZolve are a UK based organisation specialising in webhosting and IT solutions, they are accredited under the Cyber Essentials scheme. All data held by ReZolve is anonymised and accessible only to approved individuals at Rezolve and the supplier, SRI and is held on secure UK servers.

SRI has procedures to deal with any suspected data security breaches. If a suspected breach occurs, SRI will report this to the Welsh Government who will notify you and any applicable regulator where we are legally required to do so.

The Welsh Government will use the information gathered to produce a report that will be published on the Welsh Government website. This report will not include any information that could be used to identify individual participants.

How long do we keep your personal data?

SRI will hold personal data for the duration of the contract. SRI will delete any personal data on your request, or otherwise within 3 months of the end of contract. At the end of the contract in 2024 SRI will pass all contact details still held by them to Welsh Government who will retain them until a new supplier is appointed.

The Welsh Government will store the participant contact database between contracts and then delete the information once the new contract is in place and the database has been transferred to the new contractor. You can opt out at any point by either contacting the current contractor or Welsh Government between contracts or at any other point.

Individual rights

Under UK GDPR, you have the following rights in relation to the personal information you provide as part of this research, you have the right:

  • To access a copy of your own data;
  • For us to rectify inaccuracies in that data;
  • To object to or restrict processing (in certain circumstances);
  • For your data to be ‘erased’ (in certain circumstances); and
  • To lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
